One issue users sometimes have is related to profile management. They click a link to a shared drive document and the system opens the link using the last browser session they have used. If the user is connected with an account that does not have appropriate rights they won’t be allowed to access the document. You can add profiles at the browser level, by clicking on your the top profile icon not your Google Account icon.
A good practice is to create one profile per Google account and perhaps use a different icon for each of them, so that users will remember which account they are using with which browser.
There are many useful features in Gmail Settings. One of them is the Out of office settings. This will allow you to define a date range when you are out and set a message notification.
To access this setting, in Gmail, click the Settings gear, then click See all settings.
Another useful feature is the ability to automatically transfer emails you receive in one account to another. This can be especially helpful when you don’t want to log in to another account but stay informed of emails that keep arriving. You can find this setting in All Settings, Forwarding and POP/IMAP tab.
Account Delegation. In SIL we now have departmentals accounts that many users can have access to, but without sharing the credentials to comply with Google terms. To share an inbox and grant people access to a Gmail account, you can use account delegation. To do this go All Settings, Accounts
After the users have clicked the link they receive to accept the delegation, the delegated account appears below their account when they click the Google profile icon.
Schedule send. You can write an email and instead of sending it right away you can decide to automatically send it later. This is especially useful for communication that needs to be sent at a specific date. This feature is available without activation. You must click the arrow next to the Send button and choose Schedule send.
Email groups. Your users might find it useful to create Google groups for a set of users they often send emails to. This can be a group for all the users of an organization or a subset, like for a language project. The fact they don’t have to retype each recipient each time can save them some time.
Global address list. SIL maintains a Global Address List whereas WGA does not.
Undo. This is a helpful one. It can happen that after you have sent an email, you then remember you forgot to add an attachment or you made a mistake. You want to undo the sending but it’s too late. This feature, that needs to be enabled first, gives you 60 seconds to undo the sending after your hit to button. You can find this setting in All Settings, General tab and choose a cancellation period.
Signatures. Another typical setting is the signature. Google mail only supports plain text signatures, not an HTML file.
IMAP folders. Each folder your users create in Gmail will be available in the email client, such as Thunderbird, as long as they set up the account using the IMAP protocol. POP does not manage folders.
